Before you start the import process, see the below guidelines and things you need to keep in mind to avoid back and forth.

General Points:

  1. The data is accepted in mm/dd/yyyy format.

  2. The columns highlighted with Orange color in the template are mandatory fields.

  3. Excel file (.xls) is supported

  4. Ref # is the important and mandatory field while importing transactions, and it is not editable on the import screen as Xenett Port groups the transactions by Reference Number.

  5. In the case of Qty and Rate, make sure the value of Amount is equal to Qty*Rate.

  6. If the Item name has value, then the Qty is the mandatory field.

  7. If the Billable is marked as yes, then Customer/Job is mandatory.

Importing Transaction Types:

  1. To add the transaction with multiple line items, you need to add the same Ref # in the next line. Here, in the second line, you can skip adding the details in the transaction level fields such as Date, Name, Location if already added in the first line.

  2. In the case of Journal entries, the total of Negative and Positive amounts should remain zero.

  3. In Journal entries, if you are adding Accounts Payable or Accounts Receivable then you must mention the Vendor and Customer respectively under the Name column.

  4. The due date can't be smaller than the transaction date.

  5. The transaction should not have more than one multi-currency other than Home currency.

  6. In case of multi-currency transactions, make sure to add an Exchange rate not equal to 1.

Importing Master Lists:

  1. While importing Items:

    • Make sure to add value in the Qty on-hand field (only for Inventory type)

    • The Inventory Asset Account is mandatory (only for Inventory type)

    • The Income and Expense account is the required field.

    • Right now, importing Bundle type items is not provided.

  2. While importing Vendors, Customers, Employees:

    • The acceptable format for the website is https://abc.com

    • In the case of Customer, if the Bill with Parent is marked Yes, then Parent Customer is mandatory.

  3. While importing Chart of Accounts:

    • In the case of sub-accounts, the account type of sub-account and Parent account should be the same.

    • Let's say if the Parent account is '2000 - Legal and Professional fees' with the sub-account named '2001-02 - Legal Fees' and you want to add Legal fees then you can write in any of the formats mentioned below:

      • Legal Fees

      • 2001-02

      • 2001-02 Legal Fees

      • 20001-02 - Legal and Professional fees: Legal Fees

      • Legal and Professional fees: Legal Fees
